To maximize participation, it is important to inform employees that they will receive a satisfaction survey. The communication should include why their employer has chosen to ask for their input and what the benefits are for employees to complete the survey.
If you have the opportunity to inform your employees verbally, that is ideal. Otherwise, email communication may suffice. The best participation rates we've seen from our clients have been achieved through personal, in-person communication, such as:

Note that in all cases,
communication should be made prior to sending the survey to inform employees
that they will be receiving an email from an external supplier and that it is
very important that they participate. However, this communication should be
done a few days before at the most.
PowerPoint presentation
A PowerPoint presentation is available in English and French. Allow 15 to 20 minutes to present the survey and what managers and HR see in order to reassure employees about the confidentiality of the results.
When communicating to employees, emphasize the purpose of the project, which is to ensure that employees are happy in their jobs, that they have an inspiring work environment and that you are listening to their feedback.
